1. ILIAS Learning Platform
- ILIAS (Integrated Learning, Information and Work Cooperation System) is an open-source learning platform that supports teaching and learning. 2. About this Agreement
- FH Aachen may change any section of this agreement at any time. Changes take effect as soon as they are published on ILIAS. By continuing to use ILIAS, you agree to the amended agreement and are bound by its provisions.
- FH Aachen may change or discontinue parts or specific functions of the service at any time. Accordingly, the use of and access to ILIAS, as well as the duration and scope of use, may be limited at any time. We strive to keep downtimes as short as possible and to ensure that all functions are available at all times.
- In addition to this agreement, the current network policy of FH Aachen applies.
3. Registration and Credentials
- Registration on the FH Aachen ILIAS platform is not possible.
- Only members of FH Aachen and invited guests may use services that require a login. Accounts are created exclusively via the IDM system.
- By using ILIAS under the conditions of this agreement, you assure FH Aachen that you will not disclose your username and password to anyone.
- You are responsible for any use of ILIAS made with your credentials. You must ensure that your username and password are protected against unauthorized use. If you notice or suspect misuse, you undertake to notify the Data Processing Center (DVZ) immediately.
4. End of Entitlement to Use
- The entitlement to use ILIAS and the right to use ILIAS materials end when you leave FH Aachen.
- FH Aachen may suspend access to ILIAS materials in whole or in part, or terminate your entitlement to use them, if the materials (by you or by anyone accessing ILIAS under your credentials) are used in a manner that FH Aachen considers a breach of this agreement or that otherwise causes damage to FH Aachen.
- FH Aachen may delete ILIAS accounts that have not been used for more than six months, as it is assumed that these accounts are no longer in use.
- The Data Processing Center (DVZ) may block accounts if your use via these accesses jeopardizes overall operations.
5. Authors
- Authors are those who provide materials via the platform (e.g., files, etc.) or are involved in their creation (e.g., wikis, forums, learning modules, etherpads, etc.). Regardless of these profile settings, other users of the objects may be shown your real name.
5.1 Copyrights
- By this agreement you expressly acknowledge that the FH Aachen service offering contains information, texts, software, images, videos, graphics, audio documents and other materials protected by copyright, trademark or patent rights, and that the copyrights and exploitation rights belong exclusively to FH Aachen or its licensors.
- Instructors are obliged to ensure that they are entitled to distribute the materials they provide to the respective user group.
- When uploading images, the rights of the persons depicted must also be observed.
5.2 Privacy Policy
- For each website of the controller, a privacy policy informing about the processing of personal data in the sense of the EU GDPR must be created. For ILIAS, the privacy policy is provided by the DVZ. You must inform the DVZ if you collect and process personal data via ILIAS—for example, if you collect additional personal data from your course participants beyond the data stored in the system—so that the DVZ can include this in the privacy policy.
5.3 Documentation Obligation under the EU GDPR
- For each website, the controller must create an entry in the record of processing activities in the sense of the EU GDPR. For ILIAS, this entry is created centrally by the DVZ.
- For new procedures involving personal data initiated from ILIAS, authors as subject-matter owners must create the entry. A corresponding form is provided by the Data Protection Officer in the download area of FH Aachen’s central website.
6. External Offerings in ILIAS and References/Links to External Sites
- Via central ILIAS administration, external content (e.g., online applications) can be provided as ILIAS objects. To use the functionality of external offerings, data must be exchanged. Personal data (except for the transmission of necessary data such as the IP address) are anonymized by the ILIAS interface and only reassigned to users in ILIAS (results, learning progress). Users of external content agree to the exchange of data with external providers. If terms of use must be accepted, this will be indicated during use.
- The “External Content” object can be created independently in ILIAS by authors with the appropriate rights. External content must be labeled by the authors and, if applicable, point out the transfer of data and any terms of use required. Users accept the conditions associated with the external content.
- For direct or indirect references to third-party websites (“links”) outside the author’s responsibility, liability would arise only if the author had knowledge of the content and it were technically possible and reasonable to prevent use in the case of illegal content. 7. Use of Information and Materials

- You undertake not to reproduce, use, sell, transfer, publish or otherwise make available ILIAS materials for purposes other than those listed here.
- On an occasional and irregular basis, you are permitted to use small portions of ILIAS materials in seminar papers, presentations and articles, provided that copyright provisions are observed.
- The aforementioned permission does not include postings to newsgroups, mailing lists, electronic bulletin boards or other electronic distribution channels outside the ILIAS environment.
- If you wish to use ILIAS materials for purposes other than those listed here, please contact the respective authors.
8. Learning Progress
- All achievements you provide via the system (completed learning modules, test results, submitted assignments, etc.) are—if at all—only accessible to the responsible instructors.
- Whether learning progress is recorded or the data is anonymized immediately is defined by the creator of the learning object.
- The data is deleted no later than six months after you leave the university.
9. Participation in Content
- Participation in collaborative elements such as wikis and forums is generally only accessible to a group defined by the respective instructors.
- Correct and neutral language towards other students and instructors is mandatory.
- Your user data will be anonymized no later than six months after you leave the university.
10. Warranty and Product Liability
- The ILIAS services, information and materials are offered on an “as-is” and “as-available” basis.
- You expressly agree that the use of ILIAS materials is at your own risk. Except in cases of intentional and grossly negligent conduct, FH Aachen assumes no warranty that the program functions meet the user’s requirements or work together in the selection made by the user.
11. Data Protection
- Personal data such as first name, last name, username or email address are transferred from FH Aachen’s central LDAP system to the ILIAS installation and cannot be changed locally by the user. Free fields can be filled in by users if they wish.
- Unless users themselves make their profile available for viewing by other users, only administrators of the learning objects used have access to the necessary data (principle: as little as possible, as much as necessary).

12. Notices
- The ILIAS software uses email, postings within the ILIAS area or other digital media for notices to you. Notices by FH Aachen are deemed effective on a weekday on which sufficient efforts were made to reach you. You can contact the eLearning team of FH Aachen as described in paragraph 1.
13. Legal Validity
- If parts or individual formulations of this text do not, no longer or not completely comply with the applicable legal situation, the remaining parts of the document remain unaffected in their content and validity.
14. Use of AI Tools within ILIAS at FH Aachen
14.1 Purpose and Functional Scope
- AI-powered services can be integrated via ILIAS to support learning, teaching and research processes.
- The AI tools enable, among other things, the generation of text and question content as well as customizable chatbots.
14.2 Access Authorization and Authentication
- Access is granted exclusively to members of FH Aachen and explicitly invited guests via the central IDM system.
- The same credentials as for ILIAS apply to the AI tools; no separate registration is required.
- The duties of care and misuse provisions from Section 3 apply accordingly.
14.3 Permissible Content and Copyrights
- Users may not enter protected or confidential data (e.g., exam tasks, personal health or performance data) into AI tools.
- Uploaded content must be free of third-party rights or under a license that permits processing by AI systems.
- Results generated by AI tools may be used only for study, teaching and research at FH Aachen. Commercial use is prohibited.
14.4 Processing of Personal Data
- The personal data generated during use (see AI policy) are processed solely for the purposes described therein.
- No profiling or linking of AI-tool data with other ILIAS activities takes place beyond what is technically necessary.
- The legal basis is voluntary consent pursuant to Art. 6(1)(a) GDPR, obtained on first use of the respective tool and stored in the profile.
14.5 Transparency and Labeling Obligation
- Content created wholly or partly by an AI tool must be clearly identified as such by users.
- For examinations or coursework, the respective examination regulations apply; impermissible AI support may be considered attempted deception.
14.6 Deletion and Retention Periods
- Chat histories, inputs and outputs are removed when the the corresponding ILIAS-Plugin is removed unless deleted manually.
- Deletions initiated by users are made technically irreversible within 14 days at the latest in order to allow prior restoration.
14.7 Disclaimer for AI-Generated Content
- FH Aachen assumes no warranty for the correctness, completeness or legal compliance of AI-generated results.
- Users remain responsible for reviewing and appropriately using all content provided by AI tools.
14.8 Changes to these Supplementary Terms
- FH Aachen reserves the right to adapt these provisions, in particular in the event of technical or legal changes to the AI services used.
- Changes are published in ILIAS and are deemed accepted by continued use of the AI tools (supplement to Section 2).
